Site Administrator

Chelmsford

This role will provide a professional administrative support to the Project Manager and Site team at our prestigious Development and ensure all documents are processed and filed correctly in an organised methodical manner.

There is some flexibility on working hours.

KEY RESPONSIBILITIES:

  • Ensure that all duties are carried out within the company health and safety procedure and policy guidelines.
  • Where possible to look at cost effective ways of producing work/documents.
  • Deal with all site visitors and phone calls to site in a polite and professional manner.
  • Print and Bind documents for weekly/monthly reports.
  • Order stationary and other site consumables.
  • Manage the welfare and office facilities to ensure routine maintenance is upheld.
  • Update site notice board.
  • Retrieve documentation from third parties as instructed by the site team.
  • Upload all documentation to the job folder on the shared drive.
  • Assist the site team with weekly health and safety paperwork including chasing individuals and members of the supply chain.
  • Assist the site team with daily quality control paperwork including chasing individuals and members of the supply chain.
  • Collate information and produced weekly/monthly KPIs and other group / client reports.
  • Collate all delivery receipts and complete materials received forms. Send documentation to the head office for further processing.
  • Provide monthly photocopier readings.
  • Checking and updating drawing registers.
  • Express good office discipline. Do not allow the office to become a store.
  • Produce labour allocation sheets using the data from labour time sheets.
  • Keep diaries, book meeting rooms and make appointments as required, including ordering/providing refreshments.
  • Make refreshments for site based meetings.
  • Ensure all visitors and supply chain staff sign in including saving data to the server.
  • Chase project teams for weekly reports and issue to the senior management team.

RELEVANT EXPERIENCE (including qualifications):

  • Used to producing high quality documents/monthly resident newsletters
  • IT literate across the full Microsoft Office suite
  • Familiar with ISO/Quality requirements
  • Must be a self-starter and able to really hit the ground running.
  • Recent experience of working on site would be beneficial
  • Must be self-motivated, proactive and have excellent organisational skills
  • We are looking for someone who is willing to undertake other ad hoc duties as and when required
